Whether your emails land in the inbox or in spam is not decided by your copy, but by three technical records in your DNS. Without them, providers like Google and Microsoft treat your messages as untrustworthy, and since 2024 they filter far more aggressively.

Requirements

Important: Never send from a free email address like gmail.com. Such addresses cannot be technically authorized as a sender and are increasingly blocked by large providers.

Step by step

  1. Choose a sending domainUse your own domain as the sender. A dedicated sending subdomain such as mail.yourcompany.com is common practice. It separates marketing sending from your normal business email.
  2. Add the domain in FinSuitesOpen the email settings and enter your sending domain. You will then see the DNS records you need to set.
  3. Set SPF, DKIM and DMARCAdd the records shown at your domain provider. SPF defines who may send on your behalf, DKIM signs your messages, DMARC tells recipients what to do when a check fails. All three belong together, not just one.
  4. Complete verificationBack in FinSuites, run the check. Every record must pass before you send your first campaign.
  5. Set sender name and reply addressEnter a recognizable sender name and a reply address that is actually read. A noreply address costs you replies and feels impersonal.
  6. Run a test sendSend a test email to a Gmail and an Outlook address and check where it lands. Only then send at scale.
Tip: With a new domain, start small, around two hundred recipients a day, and increase gradually. Sending to ten thousand addresses from a brand new domain almost guarantees the spam folder.

Common issues

Emails land in spam. First check that all three DNS records are set correctly. Then look at the content: many links, heavy images and clickbait subject lines all hurt your score.

Verification fails. Usually a copy error in the DNS record. Copy values exactly, without extra spaces.

Delivery rate drops over time. Clean your list. Inactive recipients and hard bounces damage your reputation permanently.
