Automate appointment booking with reminders

Two things cost you money around appointments: the back and forth of finding a slot, and customers who do not show up. Both can be fully automated, and the reminder sequence is the part with the biggest effect.

Step by step

  1. Connect your calendarLink your existing calendar so your private appointments count as busy. Without this step customers book you at times you are long since occupied.
  2. Define availabilitySet your bookable hours realistically. Add buffer time between appointments and a minimum notice period so nobody books you ten minutes from now.
  3. Design the booking pageSet the duration, location or video link and the fields asked during booking. Keep it short, every extra field costs bookings.
  4. Set up confirmationRight after booking a confirmation goes out, with a calendar invite and a link to reschedule. A simple reschedule link prevents a lot of no-shows.
  5. Add remindersBuild at least two reminders: one the day before, one an hour or two before. Preferably via WhatsApp or SMS, since emails often go unread at short notice.
  6. Automate the follow-upAfter the appointment the next step starts automatically: a summary, a proposal or a review request, depending on the outcome.
Tip: Measure your no-show rate before and after adding reminders. That single number makes the value of automation immediately visible.

Common issues

Double bookings occur. The external calendar is not connected or only syncs one way. Check that two-way sync is active.

Reminders do not arrive. Check whether the workflow is published and the channel, for example WhatsApp, is set up correctly.
